Granada Bowl Match Club is a sanctioned non-profit organization, under the United States Bowling Congress (USBC) that bowls matches with other bowling match clubs. Typically one match will be held at the Granada Bowl and one match will be held at the opposing team’s home bowling center. The fiscal year of the Granada Match Club is August 1 through July 31. Matches, elections, and by-law changes will be made based on the calendar year.
By-laws shall comply with current “Robert’s Rules of Order.” By-laws shall be reviewed annually and amended as needed. Member by-law suggestions for changes may be submitted, in writing, to the Board of Directors at the last annual general meeting. These suggestions will be reviewed by the board and presented to the match club members within 30 days of the first general meeting of the year. By-law approval is by a majority of the ballots cast by the members, to be counted by two general members at the first general meeting. Approved changes will become effective immediately after this meeting unless specified otherwise.
The Granada Match Club shall have the power to adopt, rescind, or amend these by-laws during the year as needed. Any proposed change in the by-laws will require a thirty (30) day notice to the general membership for their review and be voted on at the next general meeting or special membership meeting.
MEMBERSHIP
Granada Match Club membership shall not exceed 80 members and will consist of a mix of men and women. All active club members must be at least 18 years of age and have/obtain a current USBC card. A prospective club member must have a verifiable bowling average and be sponsored by a current club member that is in current good standing for (6) six months or more.
The Match Club bowling season starts on September 1st and ends on August 31 of each calendar year. The entry match club average will be based on the member’s most recent USBC “book” average (verifiable at Bowl.com). In lieu of a USBC or a match club average, a verifiable league average based on 21 or more games will be used. A current match club average will be the verifiable average based on 9 or more games bowled with the club at home and/or at away matches.
During screening, a prospective member will need to bowl two (2) matches, one home and one away, and attend one (1) general club meeting prior to being eligible for membership approval. Membership approval is by a 2/3 majority vote of the Board of Directors. Upon notification of acceptance, the applicant will have 30 days to pay the club membership dues, fees, and order a club shirt. Failure to pay within this period will be recognized as the prospective members decision not to join the club.
A Leave of Absence for a member in good standing may be submitted to the Board of Directors for approval. A leave of absence shall be limited to one (1) year. The member will remain on the roster as an inactive member during this period. The member may return as an active member any time during this year period providing they pay any prorated dues and fees that may be due.
Prior members who apply for readmission to the match club and who left in good standings may be approved by a majority vote of the Board of Directors. When approved, they would not need to go thru the Prospective Member process. Upon payment of the membership dues and fees their reinstatement will recognize their prior term of participation in the club. The reinstated member would be responsible for purchasing a club shirt if they do not have a current club shirt.
The Board may terminate a membership by a 2/3 majority vote. Justification for such action shall be based upon a lack of good standing caused by any of the following: (a) Failure to pay dues/fees, (b) failure to sign up for and bowl matches, (c) inappropriate conduct that is detrimental to the match club, and/or (d) non-attendance of meetings.
MATCHES
Match club handicap is calculated on 100% over ten (10) pins differences between team averages. Team averages, either USBC or match club, will be agreed upon by the Matchmakers from both clubs prior to the start of the game. Any match club member or prospective member bowling a match in which the bowler does not bowl their series average will be fined $5.00. A player that bowls more than one hundred (100) pins below their series average will be fined $10.00. Any player missing the designated mark frame, per game, will be fined $1.00 for each one missed.
Participation of members in tournaments and/or “Fun Days” (other than a tournament sponsored by Granada Bowl Match Club) is encouraged but is optional. When food/supplies for a Granada home event and/or tournament are provided by the club a food assessment fee will be established. Members and Prospective Members will be required to pay this fee to the Granada Match Club.
LATE ARRIVAL AND NO SHOW
Each member bowling in a match shall check in with the Matchmaker (or alternate) prior to the start of the match. Check in time shall be thirty (30) minutes before the scheduled match time. If a member scheduled to bowl does not call in or does not arrive within fifteen (15) minutes of the check in time, will be fined $5.00. Whenever a match is bowled (in or out of town) and a member does not show up to bowl that vacancy will be filled with that member’s average, less ten (10) pins. Bowlers not showing up for a match in which they are scheduled to bowl will be fined $5.00. If a member has an emergency or calls ahead of time to notify the Matchmaker of a problem about being on time this rule will be waived.
DRESS CODE
Uniforms will consist of the Granada Match Club shirt and plain “dark” black pants, skirts, leggings, skorts (no more than 2 inches above the knee), or shorts. Exercise or sweatpants are not allowed. Under the match club shirt only a solid black or white shirt, long or short sleeves, may be worn. Match club shirts are to be worn only during match club functions or club sponsored activities; they may not be worn during league play unless directed by the match club President. Discontinued match club shirts can be worn during league play only. Hats may be worn while bowling at the Granada Match Club center providing they are appropriate, plain without “logo’s”, non-offensive, and are worn respectfully. No hats are to be worn at other bowling centers without that clubs acceptance and permission. A $5.00 fine will be charged for breaking the dress code.
MEETINGS
Match club meetings will normally be held on a Saturday or Sunday at approximately quarterly intervals. These meetings may be held in person or on line on a recognized social media. Members will be advised within two weeks prior to the meeting as to the time and date of the meeting. This information will also be posted on the club website calendar. The Board of Directors will meet prior to the general meetings.
DUES
Membership dues are established each year based on lineage fees, club expenses, and approved donations or special needs, and are payable by the end of February. Dues will be prorated monthly for new members and for reinstated members joining the match club after February. Dues are to be reviewed or revised annually by the Board to assure a sound treasury is maintained. There will be no refunds of dues paid.
Our Fun Day tournament, when approved, is designed to raise attention of the club and to raise funds for the club. All members are obligated to pay the entry fee, whether or not they bowl. A food and a raffle prize assessment may also be required based on the event. Any member, who is actively involved in the running of the event, thus unable to bowl, will have their entry fee waived but will still be responsible for any food fee and raffle prize.
CLUB CHAMPIONSHIP
A Club Championship is an optional club event that may be held once a year pending lane availability. The date will be determined by the Board of Directors. To be eligible to bowl, a member must be in the match club at least sixty (60) days, have a “current” Granada Match Club average of 9 or more games in the last 12 months, and be in “good standing” with the club. Format: Highest prior year “book” average will be used. All bowlers will bowl three (3) games and the top eight (8) men and eight (8) women will advance into brackets to determine the Men’s champion and the Women’s champion. Board of Directors will determine the cost of bowling and the prize fund.
TREASURY
The Granada Match Club treasury shall not be allowed to drop below $500.00 at any time. If the treasury is in jeopardy of going below $500.00, each club member will be assessed an amount determined by the board of directors to avoid insolvency and/or dissolution of the club.
BOARD OF DIRECTORS
The Board of Directors shall consist of the Executive Officers, three (3) Directors at Large, and Appointed Board Officers. The Executive Officers and Directors at Large shall be responsible for voting on all match club issues and assuring the club policies are carried out. The Appointed Board Officers will have a voice and a vote in the board meeting. Any board member missing three (3) consecutive meetings without good cause, or who is not in good standing may be removed from office and a replacement appointed by the President.
EXECUTIVE OFFICERS
Executive Officers will consist of President, Vice President, Secretary, and Treasurer and shall be elected for a term of one (1) year. Officers shall not be limited to a specific number of terms in office in their present capacity. New officers shall begin their terms in January of the following year. The prior year President may be called upon for assistance and guidance to the new board for a period not to exceed one year. Membership in the match club for at least one (1) year is required for all Executive officers.
Executive Officer’s duties shall be as follows:
PRESIDENT
The President shall preside over all regular and special meetings of the organization; shall appoint or re-appoint officers, standing committees and special committees at the regular business meeting of their term of office and shall be an eligible co-signer of all organization checks. The President shall carry on the duties in such a way as to promote effective operation of the organization. In the event of vacancies in elective offices, the President shall appoint temporary replacements until a special election can be held. In the vacancy of the president, the vice president will be responsible to hold a special election to fill that vacancy. The President shall be a consulting member of all committees. The President shall preside over all Board of Director Meetings and shall participate in them and have the tie-breaking vote. The President shall verify bank statements with the Club Treasurer on a monthly basis.
VICE PRESIDENT
The Vice President shall perform all duties of the President in their absence; shall attend Board of Director meetings and participate in discussions. The Vice President shall be the director in charge of all fund raising tournaments for the match club.
SECRETARY
The Secretary shall record and preserve the minutes of all regular, special, and Board of Directors meetings; read, or distribute copies of the minutes of the organization for correction and approval and shall be responsible for all match club correspondence. The Secretary shall record attendance at each match club meeting. All records of the match club shall be kept for seven (7) years and are the responsibility of the Secretary.
TREASURER
The Treasurer shall be responsible for the collection, safe keeping, and expenditure of all funds of the organization and for keeping an accurate financial record. The Treasurer shall report briefly on the finances of the organization or distribute copies of the financial statement, at each membership and Board of Directors meeting and answer any questions on financial matters. The Treasurer shall normally be the primary signer of all organization checks. The Treasurer collects and distributes funds only as directed by all applicable laws, the by-laws, the membership, the Board of Directors or other authority provided for in the by-laws, and shall be responsible for filing necessary records pertinent to this office. Records are to be retained for seven (7) years.
DIRECTORS AT LARGE
Directors at Large will consist of three (3) elected officers. Their duties are to report to the board on the needs of the general membership and to be the voice of the general members. They may temporarily function as an Executive Officer during the absence of said officer.
APPOINTED BOARD OFFICERS
The following appointed positions have specific duties to perform as listed below. They include the Matchmaker, Food Chairperson, and the Membership Chairperson. Any of these positions may be combined and carried out by the same individual. The President will appoint a Nominating Chairperson, for a limited period, to canvas the eligible club members to run for any upcoming board elections. Appointed officers are responsible for their duties and for reporting to the board. They are limited to a single vote on the board not a vote for each position that they might hold.
MATCHMAKER
The President shall appoint the Matchmaker. The Matchmaker will schedule all matches and maintain/track the member’s match club bowling averages. The Matchmaker shall serve a one (1) year term and may serve additional terms if desired by the President and confirmed by the Board of Directors. If desired, the President shall also appoint an Assistant Matchmaker.
FOOD CHAIRPERSON
The President shall appoint a Food Chairperson. The Food Chairperson shall serve a one (1) year term and may serve additional terms if desired by the President and confirmed by the Board of Directors. The Food Chairperson shall procure all foods, utensils, condiments and other staples that are needed for home matches and home tournaments where food is provided. Foods supplied must be in compliance with the California “health and safety code”, Article 3, line 114021, “(b) Food stored or prepared in a private home shall not be used…”
MEMBERSHIP CHAIRPERSON
The Membership Chairperson will be appointed by the President and will serve a term of one (1) year. The Membership Chairperson will interview all prospective new members and report to the Board of Directors at the first available Board meeting.
NOMINATING CHAIRPERSON – (Nominations)
The President shall appoint a Nominating Chairperson in August prior to the election of Officers. This chairperson may assemble a committee and will seek recommendations from the members and contact potential candidates for the Officers and three (3) Directors at large. By September this chairperson will present a slate of candidates for each office and Directors at large within the Match Club. At least one (1) candidate shall be offered for each office and at least three (3) candidates for the Directors at large. Nominations from the floor will be opened at the October or fourth quarter meeting. No nominations can be made after this meeting. This committee will be disbanded at the meeting for election of Officers. The chairperson will be responsible for preparing the election ballot.
ELECTIONS
Ballots will be prepared one (1) week after the October or fourth quarter meeting and distributed to each member of the match club in person or as an “on-line” distribution. Ballots can be submitted to any Board of Directors member in a sealed envelope with the member(s) name on the outside of the envelope. Ballots can also be placed in the Granada Match Club drawer. Ballots must be returned or submitted by November 15 to be counted. Election is based on the majority vote of the “cast” ballots. Ballots will be counted at a special board meeting where the President shall appoint at least two (2) general members to count the ballots. In case of a tie vote, a special election will be held to break the tie. Ballots are to be held until the completion of the next general meeting. If there are no challenges to positions on the ballot, a simple hand vote or media vote may be accepted to approve the acceptance of the listed members to the board.
DISSOLUTION
The Granada Match Club, with a final financial report to the members, may be dissolved at any time by a ballot vote of the members. In the event of the dissolution, other than for the purposes of reorganization whether voluntary or involuntary, none of the property, proceeds, or assets of the match club shall be distributed to any member(s). After payment of the debts of the match club its remaining property, assets, and proceeds shall be donated to a legal nonprofit organization as designated by a responding majority membership vote.
